Technical information
When you access the website, our hosting provider and other technical services may automatically process limited technical information required to deliver and secure the website. This can include an Internet Protocol address, browser and device information, requested pages, date and time of access, and similar server or security information.
03
How We Use Information
We use personal information only for purposes reasonably connected with the Museum's activities and the reason for which the information was provided.
These purposes may include responding to enquiries, arranging visits, administering events, reviewing proposed donations, supporting research requests, maintaining appropriate Museum records, managing volunteer or partnership enquiries, protecting our website and systems, and carrying out the Museum's collections, archival, educational, and community work.
Information submitted in connection with a collections donation, archival donation, oral history, or similar Museum activity may become part of the Museum's permanent institutional or collections documentation where appropriate. Any transfer of ownership, copyright, or other rights is governed by the applicable Museum agreement and is not created merely by contacting us through the website.
04
Sharing Information
The Museum does not sell personal information.
We may share or permit access to information where reasonably necessary to operate the Museum, provide a requested service, maintain our technical infrastructure, meet legal requirements, protect the Museum or others, or work with a service provider or project partner.
Where a Museum project is carried out in partnership with another organisation, information will only be shared where appropriate to the project, permitted by the relevant agreement or consent, or otherwise permitted or required by law.
Some service providers may process information outside Ontario or outside Canada. In those circumstances, information may be subject to the laws of the jurisdiction in which it is processed.
06
Email Communications
Sending the Museum an enquiry does not automatically subscribe you to a general marketing or promotional mailing list.
If the Museum introduces newsletters or other subscription-based electronic communications, we will obtain and manage consent as required by applicable law and provide an appropriate method for recipients to unsubscribe.
We may still send messages reasonably necessary to respond to an enquiry, administer a visit or event, complete a requested transaction or Museum process, or otherwise communicate with you about a matter you initiated.
07
Retention
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, to satisfy operational, archival, legal, financial, collections-management, or recordkeeping requirements, or as otherwise permitted by law.
Some Museum records are retained permanently because they form part of the Museum's institutional, archival, provenance, acquisition, or collections documentation.
08
Security
We take reasonable administrative and technical measures to protect personal information against unauthorised access, disclosure, alteration, loss, or misuse.
No website, email system, or method of electronic storage can be guaranteed to be completely secure. Users should therefore avoid sending unnecessary sensitive information by ordinary email.
09
Your Choices & Access to Information
You may contact the Museum to ask about personal information that we hold about you, request correction of inaccurate information, or withdraw a consent where consent is the basis for an ongoing optional use.
Certain information may need to be retained despite such a request where required for legal, financial, archival, collections, provenance, contractual, or institutional recordkeeping purposes.
We may need to verify your identity before responding to a request concerning personal information.
10
Children & Young People
The Museum welcomes families, students, and young visitors, but the website is not designed to solicit unnecessary personal information from children.
Where personal information, permissions, registrations, or submissions concerning a minor are required, the Museum may request involvement or consent from a parent, guardian, school, or other authorised adult as appropriate.
11
External Websites & Services
The Museum website contains links to websites and services operated by other organisations. We are not responsible for the privacy, security, content, or practices of external websites.
Visitors should review the privacy information supplied by those services before providing personal information to them.
12
Changes to This Policy
We may update this Privacy Policy as the Museum, its website, or applicable requirements change.
The current version will be published on this page with the date of the most recent revision.
